Test Scan to Email on a Brother Printer

Check that your Brother MFC or DCP can send scans by email: send a scan to one of our free test addresses and see it online in a minute or two. This guide gives the settings on the control panel and in Web Based Management, the printer's own web page.

Privacy note: Your scan becomes publicly visible for 30 days. We show only a masked form of your email address, and we never show the subject or the message text. We remove hidden data from image files, such as the device serial number. Do not send real documents.

How to test scan to email on your Brother

Follow these four steps to check that your Brother can send scans by email.

1. Copy a test address

Use one of our fax numbers, digits only, followed by @faxbeep.com.

2. Send from your Brother

Press Scan, then "to E-mail Server", then "Manual", type the address, and scan 2 or 3 pages as one PDF.

3. See the result

Your scan appears on our home page in a minute or two, marked "Received by email".

4. Check the quality

Look at the orientation, the clarity and the page count.

Which Brother route do you use?

Brother has three ways to send a scan by email. Only one of them tests the printer itself. Look in the Scan menu of the printer.

No "to E-mail Server" in the menu? On the MFC-L2760DW, MFC-L2807DW and MFC-L2820DW, you must first install the "Internet FAX Install Tool" from the Downloads page of your model on the Brother support site.

Easy Scan to E-mail sends every email from [email protected], and Brother says this "address cannot be configured or changed." We allow 60 tests each hour from one email address, so all Easy Scan to E-mail users share one limit. If you see "Too many tests. Try again later.", wait an hour, or use "to E-mail Server". You also cannot type an address on this route: save the test address in the app first.

Before you send: check these settings

Scan 2 or 3 pages, not one. With 3 pages, you can see at once if the printer sends one file for each page. Use PDF at 200 dpi, in black and white or color.

Brother sends the scan as an attachment, not as a link, so there is no link setting to check.

On the computer route, set the file type to "PDF Multi-Page" or "TIFF Multi-Page". "Single-Page" makes one file for each page.

Send the test from the control panel

On a touchscreen model, you do not need to add our address to the address book. Type it in.

  1. Load 2 or 3 pages in the document feeder.
  2. Press Scan, then "to E-mail Server".
  3. Press "Manual", type the test address, and press OK.
  4. Check that the file type is PDF, then start the scan.

Models with a 2-line display, such as the MFC-L2760DW, cannot type an address. Add the test address to the address book in Web Based Management first, then choose it as a Shortcut or Speed Dial.

Set up the outgoing mail server (SMTP)

The printer sends the scan through your mail server. Open Web Based Management: type the printer's IP address in a web browser. The login password is on the label on the back of the printer, marked "Pwd".

  1. Go to Network > Network > Protocol > "POP3/IMAP4/SMTP Client". On older models, go to Network > Protocol > "POP3/SMTP".
  2. Click "Advanced Settings" (on older models, "Advanced Setting").
  3. Enter the server address and the port. The port is the number of the connection on the mail server. Microsoft 365 and Gmail use 587.
  4. Set the authentication to SMTP-AUTH and enter the login.
  5. Set the encryption to TLS. TLS encrypts the connection to the mail server. The SSL/TLS choice ticks "Verify Server Certificate", which needs the certificate of the server's issuer on the printer. With port 587, choose TLS.
  6. Click Submit, then use "Test Send/Receive E-mail Configuration".

For Gmail, use smtp.gmail.com, port 587, TLS, and put an app password in "SMTP-AUTH Account Password". An app password is a separate password that Google makes for one device, when 2-Step Verification is on.

If your printer makes one JPEG file for each page, set the file format to PDF or TIFF. Then all pages arrive in one file.

What the result tells you

This test checks two things: that your machine can send email, and how the scan looks when it arrives. It does not test a phone line.

Messages we send back

We do not send a reply email. If we cannot accept your scan, we refuse the email with a short message. Your mail server reports the message, and many printers show or print it.

Message Cause What to do
File type not accepted. Send TIFF, PDF or JPEG. The file is not a TIFF, PDF or JPEG. Set the scan file format to PDF, TIFF or JPEG.
The PDF has a password. Send it without a password. The PDF is encrypted. Turn off PDF encryption or the PDF password in the scan settings.
No attachment found. The email has no file, or the file is empty. Check that your machine attaches the scan and does not send a link.
The file could not be read. Send it again. The file is damaged, or it took too long to open. Send it again. If it fails again, use a different file format.
File too large. See faxbeep.com for the limits. More than 7 MB, more than 20 pages, or a very large image. Use a lower resolution, scan fewer pages, or scan in black and white.
Too many tests. Try again later. More than 60 tests in one hour from one address. Wait one hour.

Brother error messages

These messages come from the printer, not from us. They mean that the email did not leave your machine.

Message on the printer What to do
"Authentication Error" The mail server refused the login. Enter it again. For Gmail, use an app password. For Microsoft 365, see the section below.
"Receiving Error" Brother gives this for Microsoft 365 accounts that need the Microsoft sign-in. See the section below.
"Out of Memory" "Size Limit" is on and the scan is above 1 MB. Turn "Size Limit" off, or scan at a lower resolution.

After the Microsoft 365 change

Microsoft plans to turn off password sign-in for sending mail from devices (SMTP AUTH with basic authentication) by default for existing Microsoft 365 tenants at the end of December 2026. A machine that sends through smtp.office365.com with a user name and password can stop sending on that date. Change it to the Microsoft sign-in (OAuth), or to a relay, then send a test to one of our addresses.

OAuth is the Microsoft sign-in, which gives the printer a token in place of a stored password. Update the printer's firmware first. Then, in the server settings in Web Based Management, choose "Third party (OAuth2)" and then "Outlook". Brother says: "If your machine is not listed, it does not support OAuth 2.0." On such a machine, send through a relay: a mail server or mail service that accepts mail from the printer and passes it on.

FAQ: Brother Scan to Email Test

Is the scan to email test free?

Yes. The test is free and you do not need to sign up.

Can other people see my scan?

Yes. Your scan becomes publicly visible for 30 days. If you need it removed sooner, click "Request removal" on its detail page. Do not send real documents.

I sent three pages but I see only one. Why?

Your printer probably sent one file for each page. We show one file for each email. Set [File Type] to PDF and [Document Separation] to Off, so that all pages are in one file.

How do I get my Brother printer to scan-to-email?

Set up the mail server in Web Based Management, under "POP3/IMAP4/SMTP Client". Then press Scan, "to E-mail Server" and "Manual" on the printer, and type the address. If "to E-mail Server" is missing, see "Which Brother route do you use?" above.

How do I set up the scan to email server on my Brother printer?

Open Web Based Management, go to Network > Network > Protocol > "POP3/IMAP4/SMTP Client" > "Advanced Settings", and enter the server, the port, SMTP-AUTH and TLS. Click Submit, then run "Test Send/Receive E-mail Configuration". Then send a test scan to one of our addresses.

Why do I get 'Too many tests. Try again later.' from Easy Scan to E-mail?

Easy Scan to E-mail sends from one Brother address for all users. We allow 60 tests each hour from one address, so other Brother users count against the same limit. Wait an hour, or use "to E-mail Server" through your own mail server.

Can I test Internet Fax (I-Fax) on my Brother too?

Yes. The same addresses accept internet faxes. See the internet fax test.
