Check that your HP LaserJet can send scans by email: send a scan to one of our free test addresses and see it online in a minute or two. This guide gives the settings for LaserJet Pro and LaserJet Enterprise MFPs, on the control panel and in the Embedded Web Server (EWS), the printer's own web page.

How to test scan to email on your HP LaserJet
Follow these four steps to check that your HP LaserJet can send scans by email.
1. Copy a test address
Use one of our fax numbers, digits only, followed by @faxbeep.com.
2. Send from your HP LaserJet
Touch Scan, then the email option, type the address in the "To" field, and scan 2 or 3 pages as one PDF.
3. See the result
Your scan appears on our home page in a minute or two, marked "Received by email".
4. Check the quality
Look at the orientation, the clarity and the page count.
Before you send: check these settings
Scan 2 or 3 pages, not one. With 3 pages, you can see at once if the printer sends one file for each page. Use PDF at 200 dpi, in black and white or color.

The HP trap: "TIFF" is not "MTIFF". On a LaserJet Enterprise, "TIFF" makes one file for each page, and we show only one file. "MTIFF" and PDF put all pages in one file. PDF is the safest choice.
HP scan to email always sends the scan as an attachment, not as a link, so there is no link setting to check.
Send the test from the control panel
You do not need to add our address to the address book. Type it in.
- LaserJet Enterprise: on the Home screen, touch Scan, then Scan to E-mail. Touch the "To" field to open the keyboard, and type the test address.
- LaserJet Pro (M329 to M479): touch Scan, then E-mail, then "Enter email address", and type the test address.
- LaserJet Pro 3301 and 4301: touch Scan, then E-mail, then touch "To" and type the test address.
- Check that the file type is PDF. Put 2 or 3 pages in the document feeder and start the scan.
Use the document feeder, not the glass. If you scan on the glass, check that the printer asks you to add the next page. If it does not ask, each page can go out as its own email.
If the "To" field does not open a keyboard, an administrator can have set "Address Field Restrictions" to "Users must select from address book". Add the test address to the address book, or ask the administrator to allow typed addresses.
Set up the outgoing mail server (SMTP)
The printer sends the scan through your mail server. Open the EWS: type the printer's IP address in a web browser.
LaserJet Enterprise:
- Go to Networking > TCP/IP Settings > Network Identification, and fill in "TCP/IP Domain Suffix".
- Go to Scan/Digital Send. For a quick setup, use the "E-mail Setup Wizard". For all settings, open "E-mail Setup" and tick "Enable Send to E-mail".
- Under "Outgoing E-mail Servers (SMTP)", click Add. Enter the server name and the port. The port is the number of the connection on the mail server, usually 587.
- Tick "Enable SMTP SSL Protocol" if your mail server needs an encrypted connection (TLS). Microsoft 365 and Gmail need it.
- Under "Server Authentication Requirements", enter the login for the mail server.
- On "Summary and Test", HP can send a test email to an address in "Send a test e-mail to:". HP's test email has no scan, so if you send it to one of our addresses, we refuse it with "No attachment found." The refusal still proves that the mail reached us.
LaserJet Pro:
- The EWS asks for a login. The password is the printer PIN, on a label inside the cartridge door.
- M4xx models: go to Scan to Email > "Outgoing Email Settings". 3301 and 4301 models: go to General > "Email Servers" > Add, tick "Always Use Secure Connection (SSL/TLS)", and set the maximum size of email to "Unlimited".
- On Windows, you can also use the "Scan to E-mail Wizard" in HP Printer Assistant, under "Outgoing Email Profiles".

An app password is a separate password that Google makes for one device. You can make one only when 2-Step Verification is on for the Google account. HP says that Yahoo Mail is not supported on LaserJet Pro.
HP's Enterprise setup article gives the Microsoft 365 server as smtp.onoffice.com. That is a typing error. The correct server is smtp.office365.com.

If your printer makes one JPEG file for each page, set the file format to PDF or TIFF. Then all pages arrive in one file.
What the result tells you
This test checks two things: that your machine can send email, and how the scan looks when it arrives. It does not test a phone line.

Messages we send back
We do not send a reply email. If we cannot accept your scan, we refuse the email with a short message. Your mail server reports the message, and many printers show or print it.

HP LaserJet error messages
These messages come from the printer, not from us. They mean that the email did not leave your machine.

After the Microsoft 365 change
Microsoft plans to turn off password sign-in for sending mail from devices (SMTP AUTH with basic authentication) by default for existing Microsoft 365 tenants at the end of December 2026. A machine that sends through smtp.office365.com with a user name and password can stop sending on that date. Change it to the Microsoft sign-in (OAuth), or to a relay, then send a test to one of our addresses.
HP's Enterprise setup article covers only the user name and password. OAuth is the Microsoft sign-in, which gives the printer a token in place of a stored password. Check HP support for a firmware update for your model that adds it. If there is none, send through a relay: a mail server in your network, or a mail service, that accepts mail from the printer and passes it on.

I sent three pages but I see only one. Why?
Your printer probably sent one file for each page. We show one file for each email. On a LaserJet Enterprise, "TIFF" and "JPEG" make one file for each page. Set the file type to PDF or "MTIFF", so that all pages are in one file.
I see two results for one scan. Why?
The printer split the scan into more than one email, and each email is a separate test. On a LaserJet Enterprise, check "Split e-mails if larger than (MB)" in the outgoing mail server settings. On a LaserJet Pro, set the maximum size of email to "Unlimited".
Why is the scanner not sending to my email?
First send a scan to one of our test addresses. If it appears on our home page, your printer can send email, and the problem is on the side of your recipient: a spam filter, a size limit or a wrong address. If the printer shows an error, the email did not leave it. Check the mail server settings in the EWS.
Why is my HP scan to email SMTP gateway not responding?
The printer cannot reach the mail server. Check the server name and the port, and that the printer has a network connection and a correct "TCP/IP Domain Suffix". For Microsoft 365 and Gmail, use port 587 and tick "Enable SMTP SSL Protocol".
How do I configure HP scan to email?
Open the EWS in a web browser. On a LaserJet Enterprise, use the "E-mail Setup Wizard" under Scan/Digital Send. On a LaserJet Pro 3301 or 4301, go to General > "Email Servers". Then send a test scan to one of our addresses.
