Test Scan to Email on an HP OfficeJet Pro or Smart Tank

Check that your HP OfficeJet Pro or Smart Tank can send scans by email: send a scan to one of our free test addresses and see it online in a minute or two. This guide covers the HP app Shortcuts route, which most of these printers use, and the mail server route in the Embedded Web Server (EWS), the printer's own web page, on the models that have it.

Privacy note: Your scan becomes publicly visible for 30 days. We show only a masked form of your email address, and we never show the subject or the message text. We remove hidden data from image files, such as the device serial number. Do not send real documents.

How to test scan to email on your HP

Follow these four steps to check that your HP can send scans by email.

1. Copy a test address

Use one of our fax numbers, digits only, followed by @faxbeep.com.

2. Send from your HP

Save the address as a Shortcut receiver in the HP app, then on the printer press Scan, then Scan to Email, choose it, and scan 2 or 3 pages as one PDF.

3. See the result

Your scan appears on our home page in a minute or two, marked "Received by email".

4. Check the quality

Look at the orientation, the clarity and the page count.

Which HP route do you use?

HP has two ways to send a scan by email from these printers.

HP says: "Scan to email is not supported for USB-connected printers." Connect the printer to your network first.

On the Shortcuts route, the test checks HP's cloud service, not a mail server of your own. HP's service sends the emails for many printers. We allow 60 tests each hour from one email address. If HP sends from one shared address for all printers, you can get "Too many tests. Try again later." after very few tests of your own. Then wait an hour, or use the mail server route if your printer has it.

Before you send: check these settings

Scan 2 or 3 pages, not one. With 3 pages, you can see at once if the printer sends one file for each page. Use PDF at 200 dpi, in black and white or color.

When you scan on the glass, add each page to the same job and finish the job only after the last page. Then all pages go out in one email.

HP sends the scan as an attachment, not as a link, so there is no link setting to check.

Send the test from the control panel

On the Shortcuts route, you cannot type an address on the printer. You choose from saved receivers. Save the test address first.

  1. Open the HP app and choose your printer.
  2. Open Shortcuts and make an email Shortcut. Add one of our test addresses as the receiver, and set the file type to PDF.
  3. Check that "Printer Access" is on for the Shortcut, so that it shows on the printer.
  4. On the printer, press Scan, then Scan to Email, and choose the receiver or Shortcut that you saved.
  5. Scan 2 or 3 pages into one job, then finish the job.

On the ENVY 6100 and 6500 and on DeskJet Plus models, HP says scan to email is "supported by control panel Shortcuts only". Use step 4 with the Shortcut.

Set up the outgoing mail server (SMTP)

Only on models with the mail server route, such as the OfficeJet Pro 9120, 9130, 9720 and 9730. The printer then sends the scan through your mail server.

  1. Open the EWS: type the printer's IP address in a web browser. The login password is the printer PIN, on the printer label.
  2. Go to General > "Email Servers" > Add.
  3. Enter the server name and the port. The port is the number of the connection on the mail server. Microsoft 365 and Gmail use 587.
  4. Turn on the secure connection (TLS), which encrypts the connection to the mail server. Microsoft 365 and Gmail need it.
  5. Enter the login, and set the maximum size of email to "Unlimited".
  6. Send a test scan to one of our addresses.

For Gmail, use smtp.gmail.com, port 587, and an app password. An app password is a separate password that Google makes for one device, when 2-Step Verification is on.

If your printer makes one JPEG file for each page, set the file format to PDF or TIFF. Then all pages arrive in one file.

What the result tells you

This test checks two things: that your machine can send email, and how the scan looks when it arrives. It does not test a phone line.

Your scan appears on Faxbeep Your machine can send email. If your real recipient gets nothing, the problem is on their side: a spam filter, a size limit or a wrong address.

The fax page says "This fax could not be processed" Your email reached us, but we could not show the file. Send it again with a lower resolution or in a different file format.
Your machine shows a send error of its own The email did not leave your machine. Check the outgoing mail server (SMTP) settings: server name, port, login and encryption.
Nothing appears, and you get no error Check the address first. We do not answer email to a number that is not one of ours. Then wait a few minutes and send again.

Messages we send back

We do not send a reply email. If we cannot accept your scan, we refuse the email with a short message. Your mail server reports the message, and many printers show or print it.

Message Cause What to do
File type not accepted. Send TIFF, PDF or JPEG. The file is not a TIFF, PDF or JPEG. Set the scan file format to PDF, TIFF or JPEG.
The PDF has a password. Send it without a password. The PDF is encrypted. Turn off PDF encryption or the PDF password in the scan settings.
No attachment found. The email has no file, or the file is empty. Check that your machine attaches the scan and does not send a link.
The file could not be read. Send it again. The file is damaged, or it took too long to open. Send it again. If it fails again, use a different file format.
File too large. See faxbeep.com for the limits. More than 7 MB, more than 20 pages, or a very large image. Use a lower resolution, scan fewer pages, or scan in black and white.
Too many tests. Try again later. More than 60 tests in one hour from one address. Wait one hour.

HP error messages

These messages come from the printer, not from us. They mean that the email did not leave your machine.

The printer says it could not connect to Web Services The Shortcuts route needs HP's web services. Check the printer's internet connection, and that Web Services are on in the HP app or the EWS.
Scan to Email is missing on the printer The printer is on USB, or no Shortcut has "Printer Access" on. Connect the printer to your network and check the Shortcut.
A send error on the mail server route Check the server, the port, the secure connection and the login in "Email Servers". For Gmail, use an app password.

After the Microsoft 365 change

Microsoft plans to turn off password sign-in for sending mail from devices (SMTP AUTH with basic authentication) by default for existing Microsoft 365 tenants at the end of December 2026. A machine that sends through smtp.office365.com with a user name and password can stop sending on that date. Change it to the Microsoft sign-in (OAuth), or to a relay, then send a test to one of our addresses.

This affects only the mail server route. The Shortcuts route sends through HP's cloud service and does not use your Microsoft 365 login. OAuth is the Microsoft sign-in, which gives the printer a token in place of a stored password. If your printer uses smtp.office365.com, check HP support for a firmware update that adds it. If there is none, use the Shortcuts route or a relay: a mail server or mail service that accepts mail from the printer and passes it on.

Is the scan to email test free?

Yes. The test is free and you do not need to sign up.

Can other people see my scan?

Yes. Your scan becomes publicly visible for 30 days. If you need it removed sooner, click "Request removal" on its detail page. Do not send real documents.

I sent three pages but I see only one. Why?

Your printer probably sent one file for each page. We show one file for each email. Set the Shortcut file type to PDF, so that all pages are in one file.

I see two results for one scan. Why?

Each email is a separate test. On the glass, add every page to the same job and finish the job only after the last page. Otherwise each page goes out in its own email.

Can my HP printer scan to email without a computer?

Yes, from the control panel, but you set it up once in the HP app: make a Shortcut with the receiver's address. After that, press Scan, then Scan to Email, on the printer. The printer must be on your network, not on USB.

Why is my HP OfficeJet scan to email not working?

Check that the printer is on your network and connected to HP's web services, and that the Shortcut has "Printer Access" on. Then send a scan to one of our test addresses. If it appears here, the printer can send, and the problem is on the side of your recipient.

Can I scan to a Gmail address?

Yes. On the Shortcuts route, add the Gmail address as a receiver. On the mail server route, you can also send through Gmail: use smtp.gmail.com, port 587, and an app password.
